Meyvaert Museum is a pioneer and market leader in high-quality solutions for museum display cases. For decades, we have offered our customers worldwide a wide range of museum display cases, ranging from modular and custom-made display cases to the interior design of exhibition spaces. For further growth, at Meyvaert Museum in Ghent we are looking for a M/F/X for the role of Tender Officer Museum Projects.

Responsibilities

As Tender Officer, you fulfil a central administrative role within the sales team. Your main task is the administrative coordination of tender projects (private and public tenders) worldwide. You search for interesting opportunities on various government platforms, go through the administrative parts of the tender documentation, coordinate the internal delivery of content for the files to colleagues involved and take care of the administrative parts yourself. You revise the supplied texts, compile the dossiers in Adobe InDesign and upload the final tender dossiers in time before the fixed deadline. 

Your responsabilities also include the following tasks:

  • Daily management of the department's general mailbox
  • Maintaining an agenda with an overview of projects
  • Completing and updating the offer/tender templates
  • Generating and sending out monthly sales reports from CRM
  • Providing general administrative and graphic support to colleagues
  • Sporadic handling of telephone enquiries
  • Offline marketing (references, brochures, presentations , trade shows etc....
  • Online marketing (social media , website etc...) - if suited to your profile

Your Profile

  • You have a bachelor degree in administration and at least 1 year of work experience
  • You have a very good knowledge of Dutch and English and at least a basic knowledge of French (other languages are a plus)
  • Your working method is characterised by a thorough, punctual and efficient approach
  • On the one hand, you like to work in an administratively supportive way and, at the same time, you like to take ownership in compiling files
  • You are curious and critical
  • You have a passion for language and layout
  • You are a real team player
  • You are assertive and can communicate constructively but clearly with internal and external partners
  • You can cope well with a multitude of deadlines and parallel projects 
  • You work pro-actively and can coordinate well
  • You have a creative spirit and graphic insight
  • You have an affinity with online and offline marketing
  • You are fluent in various common Microsoft Office applications; Word, Excel, Adobe Indesign, Photoshop
