For our Museum department, we are currently looking for Tender & Sales Support and Marketing & Communications Assistant.




  • screen online platforms for relevant opportunities
  • monitor sales inbox
  • acknowledge, filter & qualify incoming customer inquiries (email/phone) and assign to business developers
  • work with internal stakeholders (business developers, project managers & engineers) to prepare the tender proposals & quotations
  • you will be the administrative coordinator of a tender dossier in close collaboration with the account managers of the different regions (USA, UK, France, Worldwide)
  • collect and process all information and gather data from relevant stakeholders while assuring compliance & a timely submission of Tender files in order to meet the required deadlines.
  • manage the information database, ensuring all relevant documentation for tender proposals is complete & up to date
  • proofread, copywrite & translate documents (in collaboration with native speaking colleagues and/or external agencies)
  • support the business developers in sales-related tasks 
  • monitor CRM & create and distribute monthly sales report based on CRM data 


  • strong administrative skills & well-organized
  • strong PC skills 
  • assertive,  pro-active & action-oriented
  • strong communication skills, written & oral, ideally in English, Dutch & French
  • team player
  • affinity or interest in layout, graphical design 
  • good copywriting skills
  • degree/background/experience in office management, back office,
  • internal sales, business support,…




  • update and optimize multi-language website & social media + reporting
  • set-up and execute newsletter program - internal & external
  • support +/- 5 international business developers in creating presentations, editorials, advertisements
  • manage & update photo library (project photos)
  • document project references in different languages (in coordination with native speaking colleagues or external agencies)
  • support the practical organization & administration of fairs, congresses & on-site visits
  • update & create marketing brochures, flyers, sales tools, business cards,…
  • attend & contribute to Sales & Marketing meetings + support practical organization
  • be a brand ambassador to your colleagues
  • support the sales & tender process


  • a degree in Marketing or Communications or equal through experience
  • experience in graphic design (Indesign, Photoshop,...) & copywriting
  • excellent written & verbal communication skills
  • a digital native
  • fluent in English and Dutch, ideally also in French
  • great at planning and multitasking
  • pro-active & assertive, always looking to improve
